Our client is looking for a Central & Facilities Administrator who can also cover the reception area too. The role provides essential administrative support to staff and management, ensuring efficient operations and high-quality customer service. The right candidate will cover reception duties and offer compassionate support to visitors, volunteers, clients, and staff.

The Role
- Cover the reception desk, welcoming visitors and handling general inquiries.
- Manage the general info inbox and direct queries to appropriate teams.
- Book meeting rooms, handle postal duties, and manage petty cash or payments for services.
- Answer incoming phone calls as needed.
- Assist with health and safety tasks, including checks, recording maintenance tasks, and conducting weekly fire alarm tests.
- Support facilities management by maintaining clean and organized communal areas, meeting rooms, and kitchen spaces.
- Manage office supplies, set up meeting rooms, and assist with opening/locking the office following lone working procedures.
- Provide basic IT support such as troubleshooting printers and maintaining the asset management register.
- Offer diary management and administrative support for the Senior Leadership team, People and Culture, and the Board.
- Assist with finance tasks, including raising purchase orders, processing invoices, and updating spreadsheets.
- Support People and Culture activities like creating ID badges, volunteer administration, and assisting with internal events.
- Ensure all information is handled securely and in compliance with data protection policies.
- Participate in performance development meetings and compulsory training.
- Attend team meetings and report any safeguarding concerns in line with safeguarding procedures.
- Undertake any additional reasonable duties as required.
About You
- Empathetic and be able to deal with challenging emails when it comes to mental health as you will also be running the info inbox
- GCSE English and Maths (or equivalent) at grade C/4 or above.
- Be able to help on other admin based areas, which means helping out as it is a small team and showing initiative
- Proficiency in Microsoft Office programs (Word, Excel, Outlook).
- Excellent administrative, organizational, communication, and customer care skills.
- Previous experience in reception or customer-facing roles.
- Experience in providing administrative support and handling confidential information in line with data protection laws.
- Experience working for a charity or supporting facilities management.
- Experience in diary management.
- Additional: Lived experience of mental health challenges.
- Demonstrates motivation, resilience, and a commitment to the organization's values.
- Open to change and flexible in line with service needs.
- Commitment to equality, diversity, and safeguarding in the workplace.
